The SRM software vendor evaluation checklist

34 questions to ask SRM software vendors, with an auto-calculating score out of 68 and a clear verdict on whether to shortlist them

This is the scoring sheet engagement teams, procurement officers, and IT leads use to evaluate Stakeholder Relationship Management (SRM) software vendors. 34 questions across 5 categories, each scored Yes (2 points), Partial (1 point), or No (0 points), with a total out of 70 and a 4-tier verdict on whether to shortlist, shortlist with caution, or eliminate the vendor. Send it to vendors as part of an RFI or RFP. Use it yourself in a demo. Or use it as a team exercise to align your shortlist.

What's inside:

  • Key features: Questions that assess whether the software is purpose-built for stakeholder engagement, including stakeholder profiles, engagement history, commitment tracking, issue tracking, sub-project and programme hierarchies, multi-role stakeholder management, reporting, email integration, task assignment, and project rollups.

  • User experience: The questions that test whether your team will actually use the software, including mobile access, collaboration, searchability, and scale.

  • Training and support: The 6 questions that test what comes after you sign the contract, including onboarding, setup time, ongoing support, regular updates, and demo availability.

  • Security and compliance: The procurement-grade questions include data sovereignty, ISO 27001 and ISO 27017 certifications, GDPR compliance, encryption, role-based access controls,  audit trails, SSO and MFA, and whether the vendor trains AI on customer data.

  • Implementation and support: The questions that test what comes after you sign, including onboarding time, ongoing support SLAs, and whether the software works out of the box or needs significant configuration to fit your workflows.

  • Vendor and pricing: The questions that test who you're buying from, including vendor stability, pricing transparency, and customer references in your industry.

Frequently Asked Questions (FAQs) about the SRM buyers checklist

Here, you can find answers to the most commonly asked questions about Jambo's checklist for stakeholder relationship management software buyers.

How is this different from your scoring sheet on spreadsheets?
The spreadsheet scoring sheet diagnoses whether you've outgrown spreadsheets. This vendor evaluation scoring sheet comes next: it helps you compare SRM software vendors once you've decided to move. If you're still working out whether you need SRM software at all, start with the spreadsheet scoring sheet.
Why are Jambo's answers shown next to every question?

Because we built the scoring sheet, and being upfront about that builds trust. Each Jambo answer acts as a benchmark for what a fully-featured SRM should be able to do.

Will the score really auto-calculate?

In most desktop PDF readers (Adobe Acrobat Reader, Preview on Mac, Foxit, Nitro), yes. In browser-based PDF viewers (Chrome's built-in viewer and some mobile readers), the radio buttons still work, but the total may not be calculated automatically. In that case, just add it up by hand and enter the total in the score field. The sheet is built to work either way.

Can I send this directly to vendors?

Yes. The questions are written to be answered Yes/Partial/No by any SRM vendor, and you can use it as the basis for an RFI, RFP, or shortlist evaluation. Many of our customers used it when they were evaluating us.

Does this cover all the procurement requirements I'll need to evaluate?

The 34 questions cover the categories most engagement teams care about, including the procurement-grade questions (data sovereignty, AI training, ISO certifications, GDPR). For deeper procurement work in regulated industries, you may also want to ask about vendor ownership and jurisdiction, accessibility compliance (WCAG), and language support. We'd be happy to share how Jambo answers each of these directly.

Can I customize the scoring sheet for my own evaluation?

Yes. Print it, copy it into your own RFP document, or rework it for your specific context. We don't ask you to credit Jambo, though we'd appreciate it if you mentioned where the framework came from.

Can I use it as a team exercise?
Yes. Get everyone on your evaluation team to score each vendor independently, then compare scores. Disagreements (one person scoring a vendor 28, another scoring them 52) are often more revealing than the average, because they surface where different team members are seeing different things in the same demo.
